Users that pull reports can filter out System Administrator Activity by using a "Reporting User" or by exporting a CSV file and filtering out System Administrators manually.
When CampaignDrive pulls system data for reports, all system activity is included in that report. "All activity" includes everything from document tests that System Administrators do to ensure templates are generating documents as expected to actual End User activity. Most brand teams want to see system activity minus their System Administrator transactions.
Below are two ways this goal can be accomplished:
Creating a Reporting User
Creating a Reporting User allows System Administrators and other users who pull reports to see only End User activity within the platform (i.e. activity that doesn't include System Administrator activity) by creating a specific user role and assigning it only to End User locations.
A Reporting User will require a new user to be created (with a unique email address) and assigned reporting-specific permissions. This user will be assigned to all end-user locations. Assigning this user to only end-user locations means that when they look at reports they will only see locations they are associated with, which is going to be end-user only, thus filtering out any admin location activity. Note that this will NOT filter out any admin activity done by an admin within an end-user location.
Steps:
- Create a User Role with the following permissions:
- Can view Print Documents report and HTML Documents report
- Can view All Orders report
-
Can view summary report
-
Can view usage report
-
Can view dashboard reporting
2. Create a Reporting User and assign them to the Reporting Role and to all End User Locations:
Once the Reporting User has been created and assigned the appropriate locations, System Administrators and other report pullers can use the "Login as" functionality to log in as the report user. The Dashboard report will reflect the Reporting User's location visibility.
Note that if the team is frequently adding new locations to the platform, it is important to make sure that the Reporting User has access to all the relevant locations (all locations except for testing and other non-End User locations); otherwise, the Reporting User will miss location-specific activity.
Pulling a CSV File and Manually Filtering Out System Administrators
System Administrators can also pull full reports of System Activity and use spreadsheet software like Microsoft Excel, Google Sheets, Apple Numbers, etc to filter out System Administrator activity manually.
For example, in Microsoft Excel, System Administrators can select all of the data, click Filter under Sort and Filter and then filter out specific email addresses.
Note that CSV exports from CampaignDrive honor the filters applied on the report page, but do not honor the location visibility settings of the user pulling the report. Therefore, all system activity will be exported as part of a CSV.
